Leasing AI Inc. ("LeasingAI," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our website, request a demo or free scan, communicate with us, or use our platform, dashboards, applications, integrations, analytics, and related services (collectively, the "Services").
Important: This Privacy Policy describes personal information that LeasingAI processes as a business (or "controller") for our own purposes — for example, website visitors, marketing contacts, account administrators, and prospective customers.
This Privacy Policy does not apply to personal information that LeasingAI processes on behalf of its customers as a service provider (or "processor"). When property owners, managers, or operators use LeasingAI's platform, those customers control the personal information flowing through their accounts — including any information about prospects, residents, or other end users they capture or process through the Services. If you are a prospect, resident, or other end user and believe a LeasingAI customer has submitted your personal information to our platform, please contact that customer directly. Our processing on behalf of customers is governed by our customer agreements and, where applicable, our Data Processing Addendum.

1. Who This Policy Covers
This Privacy Policy applies to:
- visitors to leasing.ai and our other public web properties;
- people who request information, demos, reports, or free scans (including the free AI Visibility Scan);
- account administrators and authorized users of our platform;
- business contacts, vendors, and partners; and
- anyone who communicates with us by email, web form, chat, or other channels.
2. Personal Information We Collect
A. Information You Provide to Us
When you interact with us, you may provide:
- name, work email address, phone number, company name, and title or role;
- account credentials and profile information;
- property website URLs and similar inputs you submit through forms or the platform;
- messages, inquiries, support requests, and other communications;
- information you include in demo requests, sales conversations, or marketing forms;
- information you choose to share in feedback, testimonials, or surveys.
B. Information We Collect Automatically
When you visit our website or use the Services, we and our service providers may automatically collect:
- IP address and general location information derived from IP;
- device type, browser type and version, and operating system;
- pages viewed, links clicked, referring URL, and session activity;
- date and time of access, time zone, and language preferences;
- log, diagnostic, and performance data;
- usage and interaction data related to the Services.
C. Information from Third Parties
We may receive information about you from:
- your employer or organization, including when an authorized user invites you to a LeasingAI account;
- systems and integrations authorized by you or by a LeasingAI customer;
- service providers, vendors, and security partners;
- analytics, marketing, and business intelligence providers (including B2B website visitor identification tools);
- publicly available or commercially available sources.
D. Information Processed on Behalf of Customers
When customers use LeasingAI's platform, we may process personal information on their behalf, including contact details, inquiries, preferences, scheduling information, communications, recordings, transcripts, lead routing data, and customer-configured workflow data. As described above, in those situations our customers are the controllers of that personal information and our processing is governed by our customer agreements.
3. How We Use Personal Information
We use personal information to:
- provide, operate, maintain, secure, support, and improve the Services;
- create, manage, and authenticate accounts;
- deliver requested reports, scans, demos, and customer support;
- communicate with you about the Services, account activity, updates, and service-related matters;
- send marketing communications about LeasingAI products and offerings, subject to your choices described below;
- understand how the Services are used and develop new features, models, and improvements;
- generate aggregated, de-identified, or anonymized analytics, benchmarks, reports, and insights that do not identify any individual, customer, or property;
- detect, investigate, prevent, and respond to fraud, abuse, security incidents, and unlawful activity;
- comply with legal obligations and enforce our agreements; and
- conduct general business operations, including accounting, audits, and corporate transactions.
When we process personal information on behalf of customers, we use it only as permitted by the applicable customer agreement and customer instructions.
4. AI and Automated Features
LeasingAI uses artificial intelligence, machine learning, and related technologies to provide and improve the Services, including for analytics, recommendations, summaries, classifications, drafting, prioritization, and workflow support.
- No training on identifiable data. LeasingAI does not use Customer Data or personal data to train general-purpose or foundation AI models.
- No personal data to third-party LLMs by default. LeasingAI does not submit prospect or resident personal data to third-party large language model providers unless expressly disclosed and authorized for a specific feature.
- Third-party AI service providers. We may use third-party AI infrastructure and model providers to operate certain features. Those providers act on our behalf under written agreements that restrict how they use the information we share with them.
- Human responsibility. AI outputs are informational. LeasingAI does not make leasing, screening, credit, eligibility, pricing, or compliance decisions on anyone's behalf.
5. Cookies and Similar Technologies
We and our service providers use cookies, pixels, local storage, SDKs, and similar technologies to operate the Services, remember preferences, analyze usage, support security, and measure marketing performance.
The categories of technologies we currently use include:
- Strictly necessary technologies that make the website and platform function (such as authentication and session management).
- Analytics and product technologies that help us understand how the website and platform are used (for example, Google Analytics or similar tools).
- B2B website visitor identification tools (such as Leadfeeder / Dealfront) that identify the businesses visiting our website based on IP address and similar signals. These tools are intended to identify organizations, not individual people.
- Marketing and CRM technologies that help us communicate with prospects and customers (such as HubSpot or similar tools, where applicable).
You can manage cookies and similar technologies through your browser settings or through the opt-out mechanisms offered by the providers listed above. Some Services may not function properly if certain technologies are disabled.
We do not currently respond to "Do Not Track" browser signals in a uniform way. Where required by applicable law, we honor opt-out preference signals such as Global Privacy Control (GPC).
6. How We Disclose Personal Information
We do not sell or share personal information for monetary consideration. We disclose personal information to:
- Service providers and subprocessors that help us host, operate, secure, support, analyze, and improve the Services (including cloud hosting, customer support, communications, analytics, and AI infrastructure providers);
- Integration and workflow providers (such as PMS, CRM, telephony, calendar, and listing platforms) when necessary to provide customer-enabled features;
- Professional advisers such as lawyers, auditors, accountants, and insurers, under appropriate confidentiality obligations;
- Acquirers, investors, and financing counterparties in connection with an actual or proposed merger, acquisition, financing, reorganization, or sale of assets, subject to confidentiality protections;
- Law enforcement, regulators, courts, and other parties where required by law or where reasonably necessary to protect rights, safety, property, or the Services; and
- Third parties at your direction or with your consent.
When we process personal information on behalf of a customer, we disclose it to that customer and to the customer's authorized integrations, systems, and service providers in accordance with the customer's instructions.
7. Customer Data and Our Processor Role
To the extent LeasingAI processes personal information contained in Customer Data on behalf of a customer, including through platform accounts, integrations, communications features, lead capture, recordings, or transcripts:
- the customer is the controller (or business);
- LeasingAI is the processor (or service provider); and
- our processing is governed by the applicable customer contract and, where applicable, our Data Processing Addendum.
If you are an end user, prospect, or resident and believe a LeasingAI customer has submitted your personal information into LeasingAI's systems, please contact that customer directly to exercise your rights. We will assist our customers in responding to verified requests as required by applicable law and our customer agreements.
8. Data Retention
We retain personal information for as long as reasonably necessary to:
- provide the Services;
- maintain accounts and customer relationships;
- comply with legal, tax, and accounting obligations;
- resolve disputes and enforce agreements;
- preserve security, audit, and business records; and
- support legitimate business operations.
Retention periods vary depending on the type of data, the purpose for which it was collected, customer instructions, legal requirements, and operational needs. When personal information is no longer needed for these purposes, we delete, anonymize, or de-identify it, unless retention is required or permitted by law.
9. Data Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, loss, misuse, or alteration. No system is completely secure, however, and we cannot guarantee the absolute security of any information.
If we become aware of a security incident involving personal information, we will take steps consistent with our legal obligations and contractual commitments, including notifying affected customers and individuals where required.
10. Your Choices and Rights
Depending on your relationship with us and applicable law, you may have the right to:
- request access to personal information we hold about you;
- request correction of inaccurate or incomplete personal information;
- request deletion of personal information;
- object to or restrict certain processing;
- request portability of certain personal information;
- opt out of marketing communications; and
- withdraw consent where we rely on consent to process your information.
Marketing emails. You may unsubscribe from promotional emails using the link in those emails. Even if you opt out of marketing, we may still send service-related, transactional, or account-related communications.
Exercising your rights. To exercise rights relating to personal information that LeasingAI processes as a controller, contact us at [email protected]. We may need to verify your identity before fulfilling certain requests.
Customer-processed data. If LeasingAI processes your personal information on behalf of a customer (for example, as a prospect or resident of a property managed by a LeasingAI customer), please direct your request to that customer. We will support our customers' responses as required by applicable law.

This section provides additional information for California residents under the California Consumer Privacy Act, as amended ("CCPA").
Categories of Personal Information We Collect
In the past twelve (12) months, we may have collected the following categories of personal information about California residents acting in a business-to-business capacity:
- Identifiers (such as name, email address, phone number, IP address, account identifiers);
- Commercial information (such as records of products or services requested or considered);
- Internet or other electronic network activity information (such as browsing and interaction information on our website and Services);
- Geolocation data (general location derived from IP address);
- Professional or employment-related information (such as company name, title, and role);
- Inferences drawn from the above to create a profile reflecting preferences and engagement.
Sources of Personal Information
We collect personal information from the sources described in Section 2 above, including directly from you, automatically from your use of the Services, and from third parties such as your employer, authorized integrations, business contacts, analytics and visitor-identification providers, and publicly or commercially available sources.
Business Purposes for Collection
We use personal information for the business purposes described in Section 3 above, including providing the Services, communicating with you, marketing, analytics, security and fraud prevention, legal compliance, and corporate operations.

Sale or Sharing of Personal Information
LeasingAI does not sell personal information, and does not share personal information for cross-context behavioral advertising, as those terms are defined under the CCPA.
Sensitive Personal Information
We do not use or disclose sensitive personal information for purposes that would require us to offer a right to limit such use or disclosure under the CCPA.
Your California Rights
California residents have the right to:
- know what personal information we collect, use, and disclose about them;
- request access to and a copy of their personal information;
- request correction of inaccurate personal information;
- request deletion of their personal information, subject to applicable exceptions;
- opt out of the sale or sharing of personal information (we do not sell or share, as defined under the CCPA);
- limit the use or disclosure of sensitive personal information (not applicable, as described above); and
- not be discriminated against for exercising these rights.

LeasingAI's Services are intended for customers and users in the United States. If you access the Services from outside the United States, you understand that your information may be transferred to, processed in, and stored in the United States, where privacy and data protection laws may differ from those in your jurisdiction.
